Privacy policy

Kybera Technologies Inc. (“Kybera”, “we”) respects your privacy. This policy explains what personal information we handle, why, and the choices you have. It covers this website and Kybera IMpact, our product for Microsoft 365, including its app in Microsoft Teams and SharePoint.

The short version

• This website uses no cookies, no analytics and no tracking.
• Kybera IMpact runs entirely in your organisation’s own Microsoft 365 tenant and Azure subscription. Kybera does not receive, store or have access to your organisation’s data.
• When you email us, we use your message only to reply and to provide the service you asked about.

Who is responsible

Kybera Technologies Inc. is responsible for the personal information described in this policy. Our Privacy Officer oversees how we handle it and answers questions and requests. You can reach the Privacy Officer at support@kybera.ca.

This website

We do not use cookies, analytics, advertising tools or third-party scripts, and we do not ask you to sign in or fill in forms. Like any web host, our hosting provider processes technical information such as your IP address and browser type in order to deliver pages to you and protect the service. We do not use that information to identify or profile you.

When you contact us

If you email us or book a demonstration, we receive your name, email address, organisation and anything you choose to include. We use this only to respond, arrange the demonstration, and provide sales, licensing and support services. We do not sell personal information, and we do not add you to a mailing list without asking.

We keep business correspondence for as long as we need it for these purposes and to meet our legal and accounting obligations, and then delete it.

Kybera IMpact

Kybera IMpact is installed in your organisation’s own Microsoft 365 tenant and Azure subscription, and its Azure resources run in Canadian regions. Your organisation controls it and the information it holds, and your organisation’s own privacy practices apply to that information.

To do its job, IMpact keeps a record of who asked for, approved and changed Teams, sites and libraries. This includes people’s names and work email addresses, and it sends notification email from a mailbox your organisation chooses. All of this stays in your tenant and is kept for periods your organisation’s administrators set.

IMpact does not send data, usage information or telemetry to Kybera, and its licence is checked without contacting us. If your organisation asks for support, your administrator decides what to share with us. Diagnostic summaries are designed to leave out names, email addresses and document content.

Service providers and storage outside Canada

We use Microsoft to run our own business: Microsoft Azure hosts this website, and Microsoft 365 holds our email and business records. Microsoft may process and store this information in Canada, the United States or other countries, where it may be subject to the laws of those countries, including lawful access by their authorities. We choose providers that protect personal information to a standard comparable to ours. Kybera IMpact is not affected, because its information stays in your organisation’s environment.

How we protect information

We protect the personal information we hold with security safeguards appropriate to its sensitivity, including access limited to the people who need it and the encryption and security controls of our Microsoft services.

Your rights

We handle personal information in line with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and, where it applies, Quebec’s Act respecting the protection of personal information in the private sector. You can ask to see the personal information we hold about you, ask us to correct it, or withdraw your consent, subject to legal and contractual limits. We will respond within 30 days. For information held in Kybera IMpact, please contact your own organisation, which controls it.

If you have a concern, please tell us first. You can also contact the Office of the Privacy Commissioner of Canada or, in Quebec, the Commission d’accès à l’information du Québec.

If Kybera changes hands

If Kybera is reorganised, merged or sold, the personal information we hold may be transferred as part of that transaction, and it will remain protected as this policy describes.

Changes to this policy

We may update this policy from time to time. The date at the top shows when it last changed.
